Read the terms governing your use of Florist Toolbox by Digital Florists.

1. Introduction

Welcome to Florist Toolbox, built and run by Digital Florists Ltd (registered in England and Wales). These Terms and Conditions set out the rules for using our platform. When you sign up or use any part of the Service, you're agreeing to follow them.

2. Eligibility

Florist Toolbox is designed for professional florists and floral businesses. You need to be at least 18 to create an account. By signing up, you're confirming that the details you provide are truthful and up to date.

3. Your Account

Some features require an account. Keep your login credentials safe — you're responsible for everything that happens under your account, whether it's you at the keyboard or not. If you think someone else has gained access, let us know straight away.

4. Subscriptions and Payments

We run both free and paid plans. Paid subscriptions renew monthly, billed in advance. You can cancel whenever you like from your account dashboard — no hoops to jump through.

New paid subscribers get a 14-day money-back guarantee. After that window closes, payments aren't refundable unless the law says otherwise.

5. Association Membership Programme

We may partner with industry associations to offer their members access to selected tools on Florist Toolbox. If you redeem an association membership code, the following terms apply in addition to the rest of these Terms:

  • Eligibility. Association membership codes are intended for verified members of the relevant association. By redeeming a code, you confirm that you are a current member in good standing of the named association.
  • Scope of access. Association membership grants access to a defined set of tools and usage limits (for example, a specific number of saved arrangements). It does not grant access to the full Plus plan. The tools and limits included may change at our discretion.
  • Code usage. Each code is single-use and personal to the member it was issued to. Codes must not be shared, resold, or transferred. We reserve the right to revoke access if we reasonably believe a code has been misused.
  • Duration and expiry. Association membership access is granted for a fixed period as stated when the code is issued. Access will end automatically on the expiry date. We are under no obligation to renew or extend the programme.
  • Right to modify or end the programme. We may modify the tools available, change usage limits, or discontinue the Association Membership Programme at any time and for any reason, with or without notice. Where practical, we will give reasonable notice of material changes.
  • No payment obligation. Association membership access is provided at no cost to the member. It does not create a subscription and no payment details are required.
  • Upgrade path. Members who want access to the full Plus plan can subscribe separately at any time. Association membership and a paid Plus subscription can coexist on the same account.
  • Data sharing with your association. By redeeming a membership code, you consent to us sharing your name, company name, and email address with the partner association that issued the code. We may share this information at the point of redemption and periodically thereafter as part of a member list provided to the association. This is solely for the purpose of verifying your membership eligibility and preventing misuse of codes. We will not share any other personal data, tool usage data, or business data with the association.

6. Usage Limits

Certain features of Florist Toolbox are subject to usage limits that vary by plan:

  • Saved arrangements. Lite (free) accounts may save up to 100 arrangements. Association members may save up to 250. Plus subscribers have unlimited saved arrangements.
  • AI requests. Each plan has a weekly limit on AI-powered features. These limits reset every Monday. Current limits are displayed in your account.

We reserve the right to adjust these limits at any time. If we reduce a limit that affects your existing usage, we will give reasonable notice and your existing saved data will not be deleted.

7. Using the Service

Use Florist Toolbox for its intended purpose — running your floristry business more smoothly. Don't do anything illegal with it, and don't try to break into parts of the system you shouldn't be accessing.

Your subscription covers the tools available on the platform at the time you use them. We're always improving things, which sometimes means adding new features and occasionally retiring old ones. If we ever make a big change that noticeably reduces what you can do, we'll give you fair warning and point you toward alternatives where we can.

Removing or changing a tool won't trigger a refund on its own, but we'll always be reasonable about how we manage the roadmap.

8. Intellectual Property

Everything on Florist Toolbox — the code, the design, the content, the brand — belongs to Digital Florists Ltd or our licensors. Your subscription gives you a personal, non-transferable licence to use the platform as intended. Please don't copy, scrape, or redistribute any of it without written permission from us first.

9. Privacy and Your Data

We take data protection seriously. Our Privacy Policy explains exactly what we collect, why, and how we keep it safe. By using the platform, you're agreeing to that processing — including, where needed, transferring data outside the UK with proper safeguards in place.

10. Service Availability

Florist Toolbox is provided on an "as is" and "as available" basis. While we work hard to keep things running smoothly, we do not guarantee uninterrupted or error-free access. We make no warranties, express or implied, regarding the fitness of the Service for any particular purpose, and we do not guarantee the accuracy of any pricing calculations or generated content. You are responsible for verifying any outputs before relying on them commercially.

11. Liability

We stand behind our product, but we can't accept responsibility for indirect losses such as lost profits, business interruption, or data you didn't back up. Nothing in these Terms limits liability that the law won't let us exclude (such as liability for fraud or personal injury).

Our total liability to you for any claims arising from or related to the Service is limited to the amount you paid us in subscription fees during the 12 months immediately before the event giving rise to the claim.

12. Suspension and Termination

If you break these Terms, or if we're legally required to act, we may suspend or close your account. We'll try to give notice where practical, but in serious cases we may need to act immediately.

When your account is closed (whether by you or by us), we will retain your data for 30 days to allow you to export it or request its return. After 30 days, your personal data and account content will be permanently deleted, except where we are required by law to retain certain records (e.g. billing records for tax purposes).

13. Force Majeure

We are not liable for any failure or delay in performing our obligations where the failure or delay results from events beyond our reasonable control, including but not limited to natural disasters, power outages, internet disruptions, government actions, or pandemics.

14. Updates to These Terms

We may update these Terms from time to time. When we do, the revised version goes live on this page straight away. Continuing to use Florist Toolbox after an update means you accept the new Terms.

15. Governing Law

These Terms are governed by the laws of England and Wales, and any disputes will be dealt with in the English and Welsh courts.
